What we collect, why we need it, who can see it, and the choices you have. Other Week is in preview; your privacy rights are not.

Other Week is a shared family organiser. This notice applies to otherweek.com, the Other Week app, child links and calendar feeds. Other Week is responsible for the personal data used by the service.
Other Week is an early preview. The product is still being tested and improved, so features and the way the service works may change. Preview status does not make your personal data experimental and does not reduce any privacy right or responsibility described here. If a change materially affects how we use personal data, we will update this notice and tell affected members where appropriate.

The short version

What we collect
We collect only what is needed to run the service:
- Account details: your name, email address, sign-in identifier, household and notification preferences.
- Family details:household names, children’s names and optional dates of birth, carers and invitations.
- Things you add: schedules, events, messages, photos, tasks, expenses, plans, trips, school dates, links and notes.
- Connected calendars: events imported from a calendar or school feed you choose to connect.
- Service records: changes, approvals, notifications, device details needed for push notifications, and basic security and error logs.
Information may come from you, another member of your family, a calendar you connect, or the service provider you use to sign in. The app also creates records of changes so both households can see what was agreed.
Why we use it
We use personal data to:
- create accounts and provide the shared family service;
- show the right information to the right household;
- send requested emails and push notifications;
- keep a reliable record of changes and agreements;
- prevent misuse, investigate problems and keep the service secure;
- meet legal obligations and respond to lawful requests; and
- understand anonymous visits to our public website.
Our main lawful basis is that this processing is needed to provide the service you ask for. We also rely on our legitimate interests in running a safe, reliable family organiser, on consent where we ask for it, and on legal obligations where they apply. You do not have to provide optional information, but some features cannot work without the information they need.
Who can see it
Members of your family see information according to the sharing choice shown when it is added. Some information is shared with both households; some stays private to one person or household. A child link or calendar feed can be opened by anyone who has its private link, so treat those links like passwords and revoke them if they are shared by mistake.
We use these service providers to run Other Week:
- Clerk for sign-in and account identity;
- Neon for the database;
- Vercel for hosting, file storage and anonymous public-page analytics;
- Resend for email;
- Apple and web push services for notifications; and
- Anthropic when you use the assistant. Your question and the family information needed to answer it are sent to Anthropic. The assistant proposes actions but does not make a change until you confirm it.
These providers process data only to supply their services to us. Some operate internationally. Where personal data is transferred outside the UK, we use the safeguards required by UK data protection law. We may also disclose information where the law requires it, to protect someone from serious harm, or to establish or defend a legal claim.
Children and sensitive information
Other Week is used by parents, not offered directly to children. A parent may create a read-only child link showing a child’s first name and short-term schedule. It does not show messages, expenses, addresses or the wider family record.
Family entries can sometimes reveal health or other sensitive information. Add only what the family genuinely needs. We use that information only to provide the feature in which it was entered, apply tighter access rules, and handle it in accordance with data protection law. We do not use it for advertising, profiling or automated decisions.
How long we keep it
We keep account and family information while the family uses Other Week. You can delete many items in the app or ask us to delete your account or other personal data. We remove or anonymise data when it is no longer needed, subject to the rights of other family members and any legal, safety, fraud-prevention or record-keeping reason that requires us to keep it for longer. Copies in protected backups disappear through the provider’s normal backup cycle.
Security
We use encryption in transit, server-side access controls, managed infrastructure and revocable private links to protect personal data. We remove private fields on the server before information is sent to someone who is not allowed to see them. Clerk handles passwords; Other Week does not store them. No online service can promise absolute security.
If you think somebody has accessed your account or a shared link without permission, revoke the link where possible and contact us. If a personal data breach occurs, we will assess it and notify the ICO and affected people when the law requires us to do so.
Cookies and analytics
We use necessary cookies for sign-in, security and appearance settings. They are not used for advertising. Cookie-free analytics count anonymous visits to the home, privacy and terms pages; analytics do not run inside the signed-in app or on child links.
Your choices and rights
Depending on the circumstances, you can ask us for a copy of your data, ask us to correct or delete it, restrict its use, object to its use, or receive it in a portable form. Where we rely on consent, you can withdraw that consent at any time. These rights can be limited where the same record also belongs to another person or where the law requires us to keep it.
Email privacy@otherweek.com to exercise a right or complain. We may need to confirm your identity. You can also complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint.
Changes to this notice
We will update the version and date above when this notice changes. If a change materially affects how we use personal data, we will also tell affected members in the app or by email before it takes effect where appropriate.
